Privacy Policy for the MuAwaY Discord Bot

This Privacy Policy describes what data the MuAwaY Discord application (the “Bot”) collects, why it collects it, how long it is retained, and how to request its deletion.
The Bot is private and operates in a single Discord server, the official community of the MuAwaY game server. It is not public, has no publicly shared invite link, and is not listed in any bot directory.

1. Data we collect
We collect only what is required for the features described in section 2. We do not collect email addresses, passwords, IP addresses, payment data, location data, or any information outside the scope below.
1.1 Discord user identification
- Discord user ID
- Username and display name (server nickname) at the time of the record
- Roles assigned to the member within the server
- Server join and leave dates
1.2 Administrative and moderation events (audit log)
- Member joins and leaves
- Kicks, bans, unbans and timeouts, including the responsible moderator and the recorded reason
- Role additions and removals
- Nickname changes (previous and new value)
- Server invite creation and deletion
- Message reactions added and removed
- Command usage and interactions with the Bot’s panels
- Blocks applied by the anti-flood system
1.3 Message content (limited collection)
The Bot does not store the content of regular messages sent in the server. Only the following are recorded:
- Edited messages: the content before and after the edit
- Deleted messages: the deleted content, attachment filenames, and a copy of image attachments
- Links (URLs): the list of addresses detected in messages sent in the server’s channels
These records exist solely for auditing and moderation purposes (investigating reports, scams between players, malicious links and unauthorized advertising), are restricted to the server administration, and are automatically deleted according to section 4.
The Bot also processes, without storing the text, messages sent inside support (Help Ticket) channels and threads in order to: (a) anonymously repost, under the Bot’s identity, the reply written by the support staff; (b) detect that the ticket author has replied, cancelling the automatic inactivity closure; and (c) identify which staff member gave the first response on the ticket.
1.4 Support system (Help Ticket)
- Ticket channel ID and author user ID
- Language selected for the support session
- IDs of the staff members who made first contact, forwarded and closed the ticket
- Opening, closing and scheduled deletion timestamps
1.5 Member verification
When the server runs in staff-review verification mode, the Bot stores, while the request is under review:
- Requesting user ID and selected language
- The in-game character name provided
- The image submitted as proof by the user (stored in the database with the request)
- The review outcome (approved or rejected) and the ID of the staff member who decided
In automatic locale-based verification mode, no request is stored.
1.6 Staff rankings
- ID and display name of moderation staff members
- Counters of tickets handled and verifications reviewed
- Monthly snapshots of those counters
Rankings cover moderation staff only, not regular members.
1.7 Giveaways
- Giveaway message ID, deadline and number of winners
- Roles configured for bonus entries
2. How we use this data
- Player support: operating the ticket system, including the staff’s anonymous replies and the automatic closure of inactive tickets.
- Member verification: granting community channel access to verified players.
- Moderation and auditing: maintaining an internal audit trail that allows the administration to investigate incidents, punishments, role disputes, scams, malicious links and reports.
- Security: enforcing usage limits (anti-flood) and automatically punishing abuse against the Bot.
- Staff management: measuring support team performance through internal rankings.
- Giveaways and announcements: running giveaways and publishing official announcements.
We do not use the data for advertising, commercial profiling, resale, or to train artificial intelligence models.
3. Where the data is stored
All data is stored in a private MySQL database hosted on our own server under the control of the MuAwaY administration. Access is restricted to server administrators.
Data is not sold, rented or shared with third parties, with a single exception:
- Google Gemini API: the text of official announcements written by the administrative team is sent to the Google Gemini API for automatic translation before publication. This applies only to text written by our own staff in a Bot form, never to community members’ messages.
4. How long we keep the data
An automated daily routine deletes audit records according to the periods below, counted from the record date:

In addition:
- Help Ticket data is deleted when the ticket channel is deleted, which happens automatically after closure.
- Verification requests, including the submitted image, are deleted when the request channel is deleted after the staff decision.
- Staff ranking counters are reset monthly, leaving only the aggregated snapshot for the period.
5. Your rights and how to exercise them
At any time you may:
- Request deletion of your data stored by the Bot;
- Request access to the data we hold about you;
- Request correction of inaccurate data;
- Opt out of the processing of your message data by the Bot.
To exercise any of these rights, send an email to suporte@muaway.net including your Discord username and Discord user ID, describing your request. We will respond and carry out the request within 30 days.
You may also leave the Discord server where the Bot operates at any time, which immediately stops any new data collection related to you. Existing records follow the retention periods in section 4, or may be deleted earlier upon email request.
Note: records strictly necessary for ongoing security investigations or for enforcing active punishments may be retained until the procedure is concluded, always within the maximum periods stated in section 4.
6. Minors
The Bot follows the Discord Terms of Service, which require a minimum age to use the platform. We do not knowingly collect data from people below the minimum age required by Discord in their region. If we identify such a case, the data will be deleted.
7. Security
The database is private, not publicly exposed to the internet, and access is limited to the administrators responsible for its operation. Automated backups are generated and follow the same access restrictions and retention periods.
8. Changes to this policy
This policy may be updated. Material changes will be announced in the official Discord server channels, and the “Last updated” date at the top of this document will be revised.
